The most common productivity trap is signing up for five tools and committing to none. Use one tool per job until its limits become clear.

💡 4. Three Practical Checks Before Committing

  1. Start Simple: Run your workflow on Trello or Todoist first. Only upgrade to more complex tools when you genuinely hit their limits. Over-engineering is the enemy of productivity.
  2. Verify Data Export: If you cannot export your notes and project data after years of use, switching tools will be painful. Always check if the tool supports exporting to Markdown, CSV, or PDF before adopting it.
  3. Beware of Per-Seat Pricing: Many collaboration tools charge per user per month. Costs scale rapidly as your team grows. Calculate the annual total and check for annual billing discounts before signing.

🔒 5. Before Bundling Privacy Tools

Proton Unlimited combines paid Mail, VPN, Drive, and Pass features. It makes sense when several of those will be used regularly; otherwise, a free tier or one individual plan may be simpler. Lumo Plus is not included by default in ordinary Unlimited. Our bundle-versus-separate-plans guide shows how to compare introductory and renewal costs.
